NEWLead source keys and stage automations

Leads & Client Journey

Every website inquiry, on your board in seconds.

Connect your contact form with a lead source key and new inquiries land on your Leads board the moment someone presses send. Then each stage runs the follow-up you set, so no lead waits on someone remembering.

  • Works with the form you already have
  • Same email never added twice
  • Your team is notified instantly

Example: a visitor fills in the contact form on a law firm's website. The submission is sent to Clienty with the firm's lead source key and appears in New Leads on the Leads board. A stage automation sends a welcome text, assigns an owner, and the lead moves on to Intake.

What is a lead source key?

A lead source key is a private key you generate in Clienty and add to a form on your website. When a visitor submits that form, Clienty creates a new lead on your Leads board, tags it with the key's label, notifies your team and starts any automations on the first stage. You can make one key per website or landing page.

Every form you own, feeding one board.

Make a key for your main site, each landing page and your Spanish-language site. Every lead arrives labelled with where it came from.

Your stages, between New Leads and Convert.

New Leads always comes first and Convert always comes last. Everything in between is yours: start from a template or add up to 20 stages of your own.

  • BY PRACTICE AREA

A pipeline for each kind of case

Map practice areas to their own pipelines. Website leads land in the right one.

  • REQUIRED FIELDS

    No half-finished leads moving forward

Pick fields that must be filled before a lead can enter a stage, for people and automations alike.

  • TIME IN STAGE

    See who's waiting too long

Cards turn amber, then red, after the hours you set.

Example pipeline: New Leads first, then Intake, Consultation, Proposal and Hired, with Convert last. The Consultation stage requires a phone number and practice area before a lead can enter, and a card that has waited 52 hours is highlighted amber.

§ 03 —Stage automations

Decide what happens when a lead moves.

Move a lead to a new stage, by hand or by another automation, and that stage's workflow runs on its own: texts, emails, tasks and documents, in order.

Example: a lead is dragged from Intake to Consultation on the Leads board. The automation on the Consultation stage fires and runs its steps in order: it sends the lead an SMS confirmation, notifies a teammate and creates a task.

Another example · after the case closes

Close a matter, get the Google review.

The Client review request template emails and texts your client your Google review link, follows up once two days later, then lets the matter owners know. Clienty asks before it starts, every time you close a matter.

Example: an attorney closes Maria Torres's matter and keeps “Send review request” checked in the close dialog. The Client review request workflow emails and texts Maria a link to the firm's Google reviews, waits two days, follows up once by text and email, then texts the matter owners.

Questions, answered.

Do I need a developer to connect my website?

No. Paste the drop-in form where you want it, or add one attribute to the contact form you already have and Clienty maps the name, email, phone and message fields for you. If you'd rather hand it off, Clienty writes a brief you can send to your developer.

What happens if someone submits the form twice?

Clienty checks the email address. If it already belongs to a lead, no duplicate is created and the submission is logged so you can see it happened.

How do you keep spam off my board?

Every form gets a hidden spam trap, and you can lock each key to your own website's address so it can't be used anywhere else. You can turn a key off at any time.

Where do new leads go?

Into the first stage of the pipeline for that lead's practice area, or your default pipeline. Everyone at the firm gets a new-lead notification, and any automations on that stage start right away.

Can automations move leads for me?

Yes. An automation can wait for an intake form, an appointment or a signature, then move the lead to the next stage on its own. You can still drag cards by hand whenever you want.

Which plans include website lead capture?

Contact form intake is included on the Pro and Growth plans and during your free trial. The Answering Legal connection works on every plan.

Website leads also come in through the Answering Legal integration, and Lexi can draft automations for you. See which plans include website lead capture.
